The Email System That Changed How I Run My Senior Photography Business

For a long time, email was the part of my business nobody saw and everybody felt.

Clients felt it when a reply took three days. I felt it every time I sat down to write the same booking confirmation for the tenth time that month, trying to sound as warm as I did the first nine times. Somewhere between session six and session sixty, I realized the problem wasn't my clients or my schedule. It was that I was starting from a blank page every single time.

So I stopped.

I built a system instead - one email template at a time, one situation at a time, until I had covered the entire senior client journey from that first "tell me more" inquiry to the moment their gallery lands in their inbox. I call it the Senior Client Email Vault, and it's the thing I wish someone had handed me my first year in business.

Here's what's inside it, why I built it the way I did, and why I think every senior photographer needs something like it.

The problem with writing every email from scratch

If you're a senior portrait photographer, you already know the volume of communication one client can generate. Inquiry. Booking confirmation. Session prep. Outfit questions. Location details. The "running 10 minutes late" text. The delivery email. The gentle nudge to leave a review.

Multiply that by every senior on your calendar during peak season, and you're not running a photography business anymore - you're running a small customer service department, unpaid, at 11pm.

Writing thoughtful emails takes time. Writing thoughtful emails fast, over and over, without losing your voice is a completely different skill. That's the gap the Email Vault fills.

Every email answers the same five questions

Before I wrote a single template, I asked myself what a senior client actually needs to feel from an email — not just what information they need, but what they need to feel. That turned into a framework I now run every client email through:

  1. What does this email need to tell them?
  2. What does this email need to reassure them about?
  3. What's the one action I need them to take?
  4. What tone does this moment call for?
  5. Does this sound like me?

If an email can't answer all five, it's not ready to send — whether it's one of my templates or one I'm writing fresh. This is the framework the entire Vault is built on, and it's honestly changed how I write client emails even outside the templates themselves.

What's actually inside the Vault

The Senior Client Email Vault is a fully written, fully formatted set of email templates covering the entire senior client journey:

  • 15 core templates — from first inquiry through final gallery delivery, covering booking, prep, logistics, and everything in between
  • 5 bonus templates for the situations that don't show up on a timeline but always show up eventually: weather delays, rescheduling, extreme heat, running late, and non-weather reschedules
  • Kate Notes throughout — short, honest callouts where I explain why an email is written the way it is, so you're not just copying words, you're learning the thinking behind them

Every template is written to sound like a real person, because it needs to. Your clients aren't booking a template. They're booking you.

Why templates don't have to feel templated

I get the hesitation. "Template" can sound like the opposite of personal,  like something that'll make your business feel like everyone else's.

Here's the thing: a good template isn't a script. It's a starting point that already knows what to say, so you get to spend your energy on the 10% that makes it yours instead of the 90% that's the same for every client anyway. The information in a session prep email doesn't need to be reinvented every time. Your warmth does the rest.

That's the whole idea behind the Vault. The structure is done. The voice is yours to adjust. What used to take me twenty minutes per email now takes two.

Who this is for

This system was built for senior portrait photographers specifically, but the bones of it — the five-question framework, the situational templates, the idea of separating information from tone will serve any client-facing photography business that wants communication to feel as intentional as the images do.

If you've ever stared at a blank email at 9pm trying to remember how you worded the last "please arrive 15 minutes early" message, this is for you.

The full system - all 15 core templates, the 5 bonus situational templates, and every Kate Note is ready for you to plug straight into your business for $17.

That's less than the cost of the coffee you'd drink while writing one week's worth of client emails from scratch.
